JOB TITLE:  Front Desk Receptionist

 

REPORTS TO:  Front Desk Supervisor

 

GENERAL SUMMARY:

 

Under direct supervision is responsible for receiving patients and determining the nature of their visit.  Performs duties associated with the check-in process including verification of eligibility and benefits on all insurances, generation of referral forms and data entry.  Responds to patient inquiries.  Completes the check-out process including the scheduling of appointments for return visits and procedures conducted in the office.

 

PHYSICAL AND MENTAL EFFORTS:

 

Prolonged standing, sitting and viewing of computer screen.  Ability to deal with stressors associated with technical work environment, patient care and urgent/emergent situations.

 

ENVIRONMENTAL AND WORKING CONDITIONS:

 

Fast paced work environment.  High volume of patients checking-in and checking-out.  Probability of overtime.  Rotation within the front desk, phone and file rooms.  Possible travel to other MIU office locations.

 

JOB QUALIFICATIONS:

 

  • EDUCATION:                High school graduate or GED.

 

  • EXPERIENCE:              Minimum of 1 year experience in a professional office

environment.  Customer service experience preferred.

 

  • LICENSURE:                NA

 

  • CERTIFICATION:          NA

 

  • SKILLS:                       General clerical skills including basic computer knowledge

and the ability to type 30wpm.  Good communication and

interpersonal skills.  Demonstrates self-motivation and

TYPICAL DUTIES AND RESPONSIBILITIES:

 

Responsible for receiving all patients to the office and determining the nature of their visit.

 

Provides new patients all necessary forms to establish a medical chart.  Reviews documents to ensure required fields and signatures are complete.

 

Performs data entry of new patient insurance information in the Ntierprise program.

 

Reviews patients insurance information and updates patient record as needed.

 

Contacts patients, insurance carriers and physician’s offices to verify patient referral status for future appointments.

 

Responds to telephone contacts from primary care physician offices as they relate to patient referral issues.

 

Updates patient records for all referrals received via patient delivery, fax and mail.

 

Duplicates referral forms to provide a copy for the billing department, patient chart and front desk record.

 

Collects patient payments for office visits and outstanding balances.  Provides computerized receipts to patients and posts payments in the Ntierprise program.  Balancing monetary transactions daily.

 

Schedules appointments for return visits and procedures conducted in the MIU office.  Prepares follow-up appointment cards for patient use.

 

Facilitates physician call back/patient follow-up.

 

Performs various clerical tasks including, but not limited to:  Completing scripts for hospital testing, testing preparation forms and return to work slips for patient use; rescheduling physician appointment cancellations; reviewing next day office schedule.

 

Assists staff with filing and telephone responsibilities when time constraints allow.

 

Maintains confidentiality of patient records.

 

Maintains accountability for identifying self-deficits and for updating knowledge and skills required to perform responsibilities.

 

Assists with housekeeping duties of the office as needed.

REPORTS TO:  Lead Medical Assistant/Office Manager

 

GENERAL SUMMARY:

 

Under direct supervision, performs duties associated with the general procedures of the Michigan Institute of Urology office including but not limited to: (Cystoscopy, Vasectomy, Prostate Biopsy, PVR/Uroflow, Urodynamics, In-Office procedures, (Thermatrx, Evolve Laser, Interstim, Prostiva ect.) Sets up instrumentation for daily procedures. Cleans, disinfects, and sterilizes equipment after use. Knowledge of cold sterilization and maintenance of such solutions. Performs and records patient vital signs when indicated. Accurately documents procedures on procedure specific memos. Ability to operate and document on the Electronic Health Record (UroChart).  Administers injections/instillations on the order of the physician. Insertion of urinary catheters. May perform a variety of duties in the office with maximum efficiency, minimum delay, and optimum maintenance of aseptic technique.

TYPICAL DUTIES AND RESPONSIBILITIES:

 

Prepares procedure rooms for local procedures by setting up instrumentation, checking the case supplies and surgeon preferences and opening sterile instruments/supplies in an aseptic technique.

 

Demonstrates the ability to properly identify the patient, assist the patient to the proper procedure room, and recognize the importance of proper body mechanics when lifting and moving patients.

Ability to assist the physicians during local procedures utilizing aseptic technique.  Demonstrates knowledge of universal precautions, PPE (personal protective equipment), and aseptic technique.

 

Demonstrates the ability to accurately document on procedure specific memos and accurately use and document on the Electronic Health Record (UroChart).

 

Demonstrates ability to accurately mix medication on order of the physician and knowledge of universal precautions and personal protective equipment while mixing medications.

 

Demonstrates the ability to accurately perform injection/installations on order of the physician.

 

Demonstrates the ability to accurately draw and process blood specimens and complete related paperwork.

 

Demonstrates the ability to insert/remove urinary catheter under aseptic technique.

 

Participates in the decontamination and processing of procedure instrumentation.  Demonstrates the ability to operate the autoclave including but not limited to:  Cleaning of the unit itself, sterilization parameters, and maintenance of autoclave records; ability to wrap and sterilize instruments and related supplies; ability to use and operate load control products, i.e., biological indicators and maintain these records.

 

At the completion of the procedure, assists in room clean-up and the removal of soiled instrumentation, supplies, and trash from the procedure room.  Wipes down furniture/equipment and may occasionally mop floors.

 

Ability to operate Clinitek Machine (urinalysis).

 

Knowledge of cold sterilization including but not limited to:  Mixing of solution; handling of solution; solution parameters and expiration dates, and maintenance of solution logs.

 

Restocks supply cupboards, labs and rooms as needed.  Assists in the maintenance of equipment as needed.

 

Uses supplies in a conservative and economically minded manner.

 

Transports laboratory specimens, x-ray films, instruments, and/or supplies as needed/requested.

 

Collaborates with orientation of new personnel in the office as requested and/or assigned.

 

Reports to the supervisor when the office schedule is finished to assist office personnel in other areas.  May rotate within all MIU office locations.

 

Acts as the patient advocate notifies physician/supervisor of observed condition or change in condition of the patient to provide continuity of patient care.

 

Maintains confidentiality of patient records.
